Your information

Privacy notice

We collect only what we need to run your reservation and the event. No ads, no tracking, and we never sell or share your details.

What we collect

  • When you reserve: your name, email address, phone number (optional), the night you picked, the size of your group, and any donation you pledged.
  • When you sign the liability waiver: the name you typed as your signature, the version of the waiver you signed, the time, how it was signed (online, on your phone, on a volunteer's device, or on paper), your IP address and browser type, and the volunteer who witnessed it, if any. This is the legal record of the signature, so it is kept exactly as signed.
  • When you pay: whether and how you paid, the amount, and the date. Venmo and Cash App handle the payment itself; we never see or store card, bank, or account numbers. If you pay through one of those apps, that app may show us your name or username next to the payment.
  • Automatically: like most websites, our hosting provider (Vercel) keeps short-lived server logs that include IP addresses. Our forms use Cloudflare Turnstile to tell people from bots; Turnstile looks at signals from your browser to do that.

How we use it

  • To hold your spots, email your ticket and QR code, and check your group in at the event.
  • To email you about your reservation: a confirmation, a payment receipt, a reminder the day before, and any change to your night.
  • To match a Venmo or Cash App payment to your reservation.
  • To keep signed waivers on file.
  • To limit how many reservations one person or address can make, so nobody can fill a night with fake bookings.

We don't send marketing emails, we don't use advertising or analytics trackers, and we don't sell, rent, or trade your information.

Cookies

The public site sets no cookies. The volunteer sign-in area sets one cookie to keep a volunteer signed in; it is only used for that. Because we use no tracking or advertising cookies, there is no cookie banner to click through.

Who can see it

  • Event volunteers who sign in to the staff tools can see reservations so they can confirm payments and check families in.
  • Anyone with your ticket link can see your first name and last initial, your night, your group size, and your payment status. Keep the link private.
  • Service providers that help run the site, acting only on our instructions: Supabase (database), Vercel (hosting), Resend or Brevo (sending email), and Cloudflare (bot protection). Payments go through Venmo or Cash App under their own privacy policies.
  • We would share information if the law required it, or to deal with a safety issue, an injury claim, or fraud.

How long we keep it

Reservation and payment records are kept after the event so we can answer questions and account for the money raised for a local school. Signed waivers are kept for as long as a claim could be made about the event. Reservations are never deleted outright, only marked cancelled, so the records stay consistent. If you want your contact details removed after the event, email us and we'll strip them from your reservation; the waiver signature itself stays on file.

Children

Reservations and waivers must be made by an adult (18 or older). We don't knowingly collect information from children online; the only thing we record about children is how many are in a group.

Security

Reservations are stored in a database that only our server can reach, over encrypted connections. Volunteers sign in with a one-time code emailed to an address on the staff list; there are no shared passwords. No system is perfectly secure, so if you believe something has gone wrong, please tell us right away.

Your choices

  • Phone number is optional.
  • Lost your ticket? Use Find my reservation and we'll email the links to the address you reserved with.
  • To correct, cancel, or remove your details, email us (below) from the address you reserved with.

Changes and contact

If this notice changes, the date at the bottom will change with it. Questions about your information? Email us at the address shown in the footer of this site, or ask a volunteer at the wristband table.
